It is possible that the company you run have dozens and even hundreds of employees. It’s not possible for you to go to each employee and explain the need and requirement of a transition plan. Instead, you should explain the plan in the transition document itself. This portion should be kept at the top of the plan and it should explain a little about the need for the transition so people with crucial and key roles in the transition process get alert and attentive towards the final implementation of the plan.
Explain current and upcoming states:
A transition plan has various parts which sometimes differ from company to company but there are some elements that are always the same i.e. brief discussion of current state and desired state of the company. The person responsible for creating the transition plan should explain how the company is doing at this moment, what areas and departments or processes should perform better, where the top management or leadership wishes to see the company and how the management has decided to fulfill this dream.
Define the timeline:
In some cases, businesses operate and continue their procedures during transitions while in some cases, there is the need to stop all operations, transform the business into something completely different and then start over. For instance, you want to replace all electrical system in the office and install new and advanced panels for better evaluation. This means if old system has to be taken off and remove which will result in electricity cut off until there is the installation of the new system. The transition plan should clearly mention when the transition will happen, how much time it will take and when the company will be up and running once again.
Enlist all required tasks:
In order to fully complete the transition, there must be some steps or tasks to be completed and those tasks should be enlisted clearly on the transition plan. This way you can see which tasks are independent and which steps rely on the completion of other tasks so you can prioritize important tasks and also mark the completion of important milestones.
Explain involved risks:
If something major changes in a company, it is definitely not coming alone but it will bring some risks and errors with it as well. One of the most common risks involved in transition plans is that the business can’t run as long the transition plan is ongoing. Customers will be notified about the change and they will be alerted that their orders will be delayed. This can lead to cancellation of some orders which is not good for the company’s income.
Execute the plan:
The final step after the transition plan is completed is to get the transition team together and discuss the plan with them. This is a great opportunity to discuss their roles and responsibilities while everyone is at the same table. Not only that this will eliminate any confusion but everyone can be clearer about what is expected from him and if he thinks it’s possible to deliver the expected results. It’s not common but after this meeting, there can be some crucial changes to the transition plan as well.
